Administration & Operations Associate job description

Location: Piracicaba, São Paulo, Brazil | On-site

At InPlanet, we’re building a company that can scale - and great operations are what make that possible.

We’re looking for an Administration & Operations Associate to join our People Operations team and take ownership of the operational details that keep InPlanet running smoothly day to day.

This role sits at the intersection of workplace, administration, and operations. You’ll be the go-to person for our Hub and a wide range of operational needs across the company - from suppliers, purchases, and workplace logistics to business travel, fleet, company assets, and administrative processes.

This is a hands-on role for someone who likes to take ownership, solve problems, and make things work. You’ll work with team members across InPlanet, external partners, and leaders across different functions, helping remove operational friction so everyone else can focus on their work.

As a fully on-site role, you’ll be based at the InPlanet Hub and will own the day-to-day reception and workplace experience, serving as the first point of contact for team members, visitors, and external guests.

As InPlanet grows, you’ll also have the opportunity to improve the way we operate - building better processes, bringing more structure where needed, and making sure our operations scale with the company.


Own the InPlanet Hub

Your mission is to make the InPlanet Hub a place where people love to work - and make sure everything behind the scenes just works.

You’ll own the day-to-day workplace experience, making sure the Hub is organized, functional, welcoming, and ready for whatever the team needs. From suppliers and office resources to workplace logistics, you’ll be the go-to person for making sure things run smoothly.

But ownership doesn’t stop at keeping things running. You’ll spot what could work better, solve problems proactively, and continuously improve the way we operate as InPlanet grows.

Key Responsibilities

Workplace & Hub Operations:
  • Own the day-to-day operation of the InPlanet Hub, ensuring it is organized, functional, welcoming, and ready to support our team.
  • Own the Hub reception, being the first point of contact for team members, visitors, and external guests and ensuring a welcoming and professional experience from the moment they arrive.
  • Manage day-to-day reception duties, including welcoming visitors, answering the door, receiving and organizing deliveries and packages, handling incoming correspondence, and directing people to the appropriate team members.
  • Create a great workplace experience, proactively identifying ways to make the Hub better and easier to use.
  • Manage workplace suppliers and external service providers, ensuring quality, reliability, and smooth day-to-day operations.
  • Coordinate office purchases, supplies, inventory, and workplace resources.
  • Support facilities-related activities and help ensure the Hub remains a safe, organized, and enjoyable environment.
  • Support internal events and workplace activities when needed.


Administrative & Company Operations:
  • Coordinate business travel, including flights, accommodation, transportation, and itineraries for team members and leaders.
  • Support the management of our company fleet, including documentation, maintenance, insurance, fines, and other administrative processes.
  • Manage corporate phone lines, equipment, and other company assets, keeping records organized and up to date.
  • Coordinate incoming deliveries, correspondence, and workplace logistics.
  • Manage relationships with external vendors and partners, ensuring requests are followed through and issues are resolved.
  • Support administrative processes, documentation, and internal organization across different teams.

Improve How We Operate:
  • Take ownership of operational problems from start to finish — spot the issue, find the solution, and make it happen.
  • Identify opportunities to improve processes, reduce friction, and make day-to-day operations more efficient.
  • Bring structure to operational processes as InPlanet continues to grow.
  • Help build simple, scalable ways of working, rather than relying on manual follow-ups and ad-hoc solutions.
  • Be a reliable point of contact for team members when they need operational support.

You can be a Rock-Star if you have

  • 2–4 years of experience in administrative, operations, workplace, office management, or a similar role.
  • Advanced English and Portuguese, with confidence communicating with both internal and external stakeholders.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities independently.
  • Excellent attention to detail and a strong sense of ownership.
  • A hands-on and proactive mindset — you see something that needs to be done and take care of it.
  • Comfortable working in an environment where priorities can change quickly and not everything is already defined.
  • Confidence using digital tools and systems, with the ability to learn new tools quickly.
  • Strong follow-through: you don’t just start tasks — you make sure they get done.

Bonus Points, but not essencial
  • Experience coordinating business travel and accommodation.
  • Experience managing suppliers, vendors, or service providers.
  • Familiarity with Google Workspace.
  • Experience supporting internal events or workplace activities.
  • Experience managing fleet, company assets, or facilities.
  • Previous experience in a startup or fast-growing company.
  • Experience working in a multicultural or international environment.
